How to configure the Housekeeping View in the operations platform according to your needs

Introduction 

The Housekeeping View configuration enables a Property Admin to define which Housekeeping View is enabled, and how the task management Housekeeping View V2 is configured.

1. Feature Overview


The Housekeeping View allows your housekeeping team to efficiently manage room status updates for both departure and stay-over cleanings.

You can choose between two available versions depending on your property’s operational needs:

  • Housekeeping V1 – Offers basic functionality with a simple overview of rooms to be cleaned each day and a 14-day forecast. (Available for Apaleo only.)

  • Housekeeping V2 – A task-based system where an automatic task is generated for each cleaning. Once the task is completed, the corresponding room status updates automatically.
    This version also includes:

    • Display of additional tasks related to guest rooms, reservations, or tasks assigned to the Housekeeping group.

    • A 14-day forecast for all PMS providers, showing additional housekeeping-related services (e.g. baby cots, extra pillows, etc.).

As a Property Admin, you can decide which version to activate and define the specific task settings for Housekeeping View V2 within this configuration section.


2. Feature Description

To configure your preferred Housekeeping View:

  1. Navigate to Settings → Housekeeping View in your operations platform.

  2. Click the three-dot menu to edit the configuration.

a) Housekeeping View V1

Housekeeping V1 provides a straightforward setup and is ideal for basic housekeeping management.

Once you activate this option:

  • No additional configuration is required.

  • After publishing and refreshing the operations platform, the Housekeeping Tool will appear in the sidebar.

  • You will see all departure cleanings (as defined in your PMS), as well as rooms marked for Free Cleaning and Additional Cleaning (based on your Service Configuration).

If you notice any discrepancies after activation, please contact our Support Team for assistance.

b) Housekeeping V2

When activating Housekeeping View V2, you can define detailed automation settings and room status behavior.

  1. Define Target State:
    Choose what the room status should be once the cleaning task is marked as completed:

    • Clean – The guest can check in immediately.

    • Clean to be inspected – The room requires inspection before being set to “Clean.”

  2. Set the Assignee Group:
    Select the user group responsible for the tasks (typically the Housekeeping Group configured in KeyCloak).

  3. Configure Task Details:
    Define the Task Title and Task Description that will appear for every departure cleaning task in Housekeeping View V2.

  4. Publish and Reload:
    After completing the configuration:

    • Save the changes.

    • Publish the setup.

    • Reload the operations platform.
      The Housekeeping View V2 will then be available.

Important: Ensure that your Free Cleaning and Additional Cleaning services also have automatic task creation enabled.
Only then will these cleanings appear correctly in the Housekeeping View V2.


Tip: When enabling Housekeeping V2 for the first time, please contact our Support Team to ensure automatic task creation is set up for all existing bookings.
